Your samples, expertly produced
Freebies are always great for brand awareness. At Promohire, we can either produce these for you or install the equipment needed to make and serve them on site.
Sample production
From coloured ice creams with brand-coloured sprinkles, to unique frozen yoghurts and ice lollies, we can craft a tasty treat that sets your campaign apart. Some places limit the treats you can hand out (thanks to HFSS legislation), so we can produce your samples accordingly.
We can also make lactose- and gluten-free options for event sampling that’s fun and inclusive. Whatever you need, we can create, test and rework your samples until you’re 100% happy with the results.
Food & beverage makers
If you’re serving hot chocolates or other beverages, we’ll need to know this early so we can install the proper machinery into your vehicle. High-quality coffee makers, for example, will allow you to produce as many drinks as you need to win the crowds over.
Campaign fulfilment is also important here. Storage chests and chiller freezers can be installed inside your promotional vehicle – all to keep your samples fresh throughout the day.
Bespoke, branded packaging
A strong sampling campaign starts with presentation. We know it’s important for your samples to be fully branded and can manage the package design process for you. Our robust network means we can always find a specialist who’ll help out – resulting in bespoke wrappers or tubs that display your logo, colours or messaging.

Campaign fulfilment is all about storing your items properly and delivering them to each event without hassle.
Storage
From frozen yoghurts to clothes and deckchairs, we’ll keep your stock in perfect condition until you need them. Our fulfilment service gives every product a clean environment, at the right temperature, so you can trust they’ll remain in the best condition possible.
Please note, we can’t accept pallets of goods at the last minute! Tell us everything we need to know as early as possible, so we can prepare a suitable space for your goods.
Delivery & restocking
If you’re running a sampling campaign, you’ll need your stock taken from storage and loaded into the vehicle, ready to be delivered. Likewise, you might need mobile storage (like dump bins) to move your samples around on site.
We can accommodate whatever you need, for event sampling that’s both fun and convenient. Multi-day campaigns tend to be more complex, as you’ll need a certain amount of stock delivered each day.
At Promohire, we can coordinate these deliveries for you, handling the logistics so each event’s as successful as the last.

Some of our favourite sampling projects
Sol de Janeiro
This tropical beauty brand wanted to hand out 10,000 fully branded ice lollies over a 3-day activation. Their samples were delivered every day to their branded Airstream, located at Outernet London – a high-foot traffic venue in the city’s West End.
Aside from arranging the ice lollies and branded wrappers well ahead of time, we also provided branded deck chairs and on-site freezers for easy storage.
Sage
The popular brand Sage wanted to serve frozen yoghurts in branded tubs for a special tasting event. This meant helping with the design elements and arranging for the tubs to be printed in bulk, all in time for their campaign.
Promohire delivered this and more, including the promotional vehicle along with the frozen yoghurt machine. We also supplied hygiene-certified staff to handle the serving.
Netflix & The Witcher
Netflix came to us with the idea of a 5-week sampling campaign, featuring a fully wrapped Witcher ice cream van, complete with an ice cream maker and custom ice creams to suit the TV show’s colours and themes.
Our team created a black ice cream, along with a Witchery wafer, red blood strawberry sauce and white hair-like candy floss.

Key considerations
Lead times - Samples and packaging can take weeks of preparation. Be sure to reach out early to prevent delays.
Volume estimates - Have a clear idea of how many samples you’ll need for each event. This helps us prepare enough stock and avoid shortages.
Hygiene standards - All food and drink from us complies with UK food safety laws. If you’re limited by HFSS legislation, we can create healthy alternatives.
Client-supplied items - We can’t accommodate unknown or last-minute deliveries. Let us know everything that’s going into your campaign so we can integrate it into our campaign fulfilment process.
